Chapter 14: Vendor Relations

Description

The RUSA Vendor Liaison is appointed by the RUSA Vice President for a renewable term of three years. The Vendor Relations Liaison is a member of the RUSA Leadership Council and an ex-officio member of the RUSA Awards Coordinating Committee (ACC). The RUSA Vendor Liaison's role is to facilitate communication between RUSA (including RUSA office staff, RUSA committees, sections and the Board) and database providers, publishers and other research resource vendors, to ensure the continued support of RUSA's awards, events and learning opportunities.

Duties

  • Coordinate throughout the year with the RUSA office to confirm upcoming RUSA events, dates and funding requirements
  • Reach out to vendors in alignment with the Midwinter meeting and Annual conference dates and the RUSA marketing calendar (as noted in the RUSA Media Kit) to solicit and acquire sponsors
  • Maintain a record of vendor communication dates and statuses and follow-up until financial support threshold levels have been met
  • Once sponsorships have been confirmed, work with the vendor and the RUSA office to ensure that invoices are processed
  • Serve as ex-officio member of the RUSA Awards Coordinating Committee (ACC) and provide guidance and support in the event that awards go unfunded (see Unfunded Awards Policy), and to work with the ACC to find and secure new sponsorship
  • Communicate regularly with the Board of Directors and RUSA Leadership Council to keep them informed of all fundraising activity as well and to request any additional fundraising needs

Calendar

  • Reach out to vendors for Annual Conference event sponsorship by mid-February
    • Annual sponsorships due by April 1 (flexible)
    • Check on all sponsorships, invoices and benefits with RUSA office at least two weeks before Annual
  • Reach out to vendors for Midwinter Meeting event sponsorship by mid-September
    • Midwinter sponsorships due by November 15 (flexible)
    • Check on all sponsorships, invoices and benefits with RUSA office at least two weeks before Midwinter
